Responsibilities
In this role, you will
- Provide confidential and efficient executive support, including preparing correspondence, reports, presentations and other document.
- Act as a trusted liaison between the CIO and internal/external stakeholders, ensuring consistent messaging and alignment with organisational priorities.
- Coordinate and disseminate communications and information flows across the organisation.
- Filter and prioritise incoming requests, drawing attention to urgent matters and referring operational issues appropriately.
- Manage the CIO’s calendar and email inbox, including triaging high-volume correspondence scheduling meetings and ensuring timely follow-up on actions.
- Negotiating and re-prioritising the CIO's schedule, given heavy workloads, tight deadlines, and conflicting high-level commitments and priorities.
- Ability to exercise judgement, analyse and interpret complex and sensitive information, and evaluate impacts.
- Prepare agendas, coordinate logistics, and document outcomes for meetings, including minute-taking as required.
- Coordinate travel arrangements including, bookings, itineraries, and amendments, ensuring alignment with organisation policies and preferences.
- Monitor, track and disseminate correspondence, ensuring appropriate record keeping and version control using platforms such as SharePoint.
- Research, prepare and coordinate briefing material and documents for meetings, diary appointments and other engagements.
- Support in the preparation of reports, submissions and presentations.
- Build and maintain effective working relationships with internal teams, service providers external stakeholders and other ARENA workers.
- Represent the CIO with professionalism and discretion in all interactions.
- Identify opportunities for continuous improvement and contribute to the refinement of workflows and service delivery.
- Working autonomously, to plan and execute office events and conferences that relate to the Sydney office and/or the Investment team, including sourcing and engaging venues, negotiating and arranging travel and accommodation and liaising with external service providers.
What are we looking for
This role requires an experienced Executive Assistant who will bring:
- Demonstrated experience providing high level administrative and executive support services in a dynamic environment
- Proven experience working as an Executive Assistant to a senior executive.
- Demonstrated ability to manage competing priorities, plan effectively and organise workflow to meet deadlines.
- Strong interpersonal and communication skills, with the ability to proactively raise issues and engage with a diverse range of stakeholders using discretion and confidentiality.
- Capacity to build and maintain productive working relationships across a broad network, including with other Executive Assistants, Executive Officers, office managers and corporate teams.
- Excellent organisational skills and the ability to manage multiple tasks, concurrently, with a strong attention to detail and commitment to quality outcomes.
- Demonstrated ability to work collaboratively within a team environment, exercise initiative and adapt to changing priorities with minimal supervision.
- Ability to develop a sound understanding of ARENA’s role and functions, and how these relate to your work.
- Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
